The short version

  • HoopCoach is used by coaches to track their own teams. The team and player information in it is entered by you, the coach.
  • We store your account email and the team, roster, and game data you enter. We use it only to run the tools for you.
  • We never sell your data and don't use it for advertising.
  • Data is shared with our hosting provider (Supabase), and — only when you tap Generate AI Insights — with Google's Gemini AI to produce coaching advice.
  • Rosters often include minors. Please enter as little identifying information as you need, and only for players you're authorized to track.
  • You can delete players, teams, and your account at any time. Questions? [email protected].

1. Who we are

HoopCoach.org ("HoopCoach", "we", "us") provides a set of web-based basketball analytics tools — a coach dashboard, shot chart, plus/minus tracker, possession tracker, and box score entry. This policy explains what information we collect when you use these tools, how we use it, and the choices you have. If you do not agree with this policy, please do not use the tools.

2. Who uses HoopCoach, and whose data is in it

Our users are coaches and team staff, who create an account and enter information about their own teams. That information frequently includes youth athletes (minors). HoopCoach does not knowingly allow players/children to create their own accounts, and we do not collect information directly from children. As the coach, you are responsible for ensuring you have the appropriate permission (from your league, school, and/or the players' parents or guardians) to enter and store player information, consistent with your local rules and laws.

3. Information we collect

Account information

When you register, we collect your email address and a password. Passwords are handled by our authentication provider and stored only in hashed form — we never see or store your plain-text password.

To let the tools work offline and preserve your work, we save some of this data in your browser's local storage (for example, in-progress shot charts, saved rosters, and your currently selected team). This stays on your device until you clear it.

Technical information

Like most websites, our hosting and infrastructure providers automatically process standard technical data (such as IP address and browser type) as part of delivering and securing the service. We do not use advertising or third-party tracking cookies.

4. How we use your information

We do not sell your personal information, and we do not use it for advertising or profiling.

5. Who we share information with

We share data only with the service providers needed to run HoopCoach:

Supabase (hosting, database & authentication)

Your account and the data you enter are stored and secured using Supabase, our database and authentication provider.

Google Gemini (AI insights — only on request)

The AI Assistant Coach feature is optional. Only when you tap "Generate AI Insights," we send a summary to Google's Gemini API to produce coaching advice. That summary contains aggregated team statistics, player last names, and your five most recent Coach's Log notes. It is processed by Google under its Gemini API terms. Because these notes are sent to Google, please avoid entering sensitive personal details (about players or anyone else) in the Coach's Log. If you never use the AI feature, none of your data is sent to Google.

We may also disclose information if required by law, or to protect the rights, safety, and security of our users or the service.

6. Children's privacy

HoopCoach is a tool for coaches, not a service directed to children, and children may not create accounts. Because rosters can identify minors, we ask that you:

7. Data retention

We keep the data you enter for as long as your account is active or as needed to provide the tools. You can delete individual players, teams, and games at any time within the tools; deleting them removes them from our database. If you close your account, we will delete the associated data (some information may remain in routine backups for a limited period before being overwritten).

8. Security

We use industry-standard measures to protect your data, including encrypted connections (HTTPS), account authentication, and access controls designed so that each account can only reach its own teams' data. No method of transmission or storage is 100% secure, so we cannot guarantee absolute security, but we work to protect your information and to address issues promptly.

9. Your choices and rights

You can access, correct, or delete the data you've entered directly within the tools. Depending on where you live, you may also have rights to request a copy of your data, to have it corrected or deleted, or to withdraw consent. To exercise any of these, or to request deletion of your account or a specific player's data, email us at [email protected]. You can also clear locally stored data at any time using the "Clear" options in each tool or your browser's site-data controls.

10. Changes to this policy

We may update this policy from time to time. When we do, we'll revise the "Last updated" date above, and significant changes will be noted on this page. Continued use of the tools after an update means you accept the revised policy.
